The following topics explain how to log into the calendar system, how to post calendar listings, and more. (You can ignore these instructions if you merely want to read the calendar.)

1. Technical Requirements

In order for the Songspace calendar to operate and display properly on your computer, your browser must have both style sheets and Javascript enabled.

2. Logging In and Out of 'Event Manager'

2.1 Logging In

Once you're registered, you must log in to post calendar listings. Click on "Artist Log-in" from the main calendar page.

When you log in, you enter the "Event Manager" section of the calendar system. In the "Event Manager you can post calendar listings, look at listings you've already posted, edit and delete listings, and other tasks (see sections 4-5 below).

When you are logged into the Event Manager, you can view the Calendar without logging out. Just click on "View Calendar" near the top of the page.

If you're viewing the calendar while you're logged in, you can get back to the Event Manager by clicking on "Event Manager," near the top of the page.

2.2 Logging Out

When you're done, log out before leaving the site. Click on "Log Out," located near your username toward the top of the page.

2.3 If You Forget Your Password

If you forget your password, click on "Artist Log-in," and when the log-in window appears, click on "Forgot Your Password?" Enter your username and the associated email address, and your password will be emailed to you at that address.

3. Posting a New Event on the Calendar

3.1 Getting to the Posting Form

After you've logged into the Event Manager (see 2, above), click on "Post a New Event" to go to the data entry form.

3.2 Entering Your Calendar Listing

When entering your event information, please follow these guidelines to ensure that the calendar is reliable, and to maintain the integrity of the Songspace database:

-Follow all instructions and examples on the data entry form
-Enter all data requested, and in the formats requested
-Use the help links on the entry form if you have questions
-Make sure your information is accurate
-Be sure to edit or delete your listing if there's a change or cancellation (see 4, below)

The calendar is not appropriate for:

• performances by out-of-town artists
• performances outside the geographic area given above
• instrumental music
• performers who don't sing their own songs (a few covers are OK)
• dances and dance-related events
• recorded music (DJs, dance clubs, etc.)
• non-musical events
• music in which we can't hear the words

NOTE: If you're a singer-songwriter who also plays other kinds of events (instrumental concerts, dances, workshops), only your singer-songwriter shows go on the calendar.

Songspace's geographic boundaries include but go no farther than:
    Tacoma to the south; Everett to the north;
    Sultan, Carnation, Snoqualmie, Enumclaw to the east;
    Vashon Is. and Bainbridge Is. to the west;
    (no Olympia, Bellingham, Whidbey Is., or Kitsap/Olympic Pen.)

3.3 Then What Happens?

Once you've posted a listing, it's immediately added to the calendar.

You'll also see it on your personal Event List in the Event Manager. This screen lists all the events you enter into the calendar system, in the order you entered them, newest at the top, oldest at the bottom.

4. Viewing, Editing, and Deleting Your Listings

4.1 Event List

The first screen you see when you log into the Event Manager is the Event List, which shows all the events you have entered into the system.

Events are shown in the order they were entered (most recent at the top), not according to the dates that the events actually occur on the calendar itself.

The list shows up to 10 events at a time; if you wish to see earlier events, use the page links at the bottom of the list.

4.2 Editing a Listing

You can edit a listing (or just read it over) by clicking on the "Edit" link in the "Action" column on the far right, or by clicking on the name of the event itself.

Also, when you view the calendar while you're logged in, an "edit" link and a "delete" link appear next to each of your listings on the calendar; these links function just like those in the Event Manager. These calendar links only appear when you're logged in, and only next to your events; no one else can make changes to your listings.

Clicking on an "Edit" link takes you to the "Event Details" window, where you can look over the listing and make changes. When you're done, click on "Save Changes"; changes take effect immediately. To undo your edits and leave the listing unchanged, click on "Undo Changes." After you edit a listing in the "Event Details" window, you're taken to the Event Manager Event List screen (even if you were originally looking at the calendar).

NOTE: In the "Event Details" window, you can only change the Venue or Contact by selecting the appropriate choice(s) from the drop-down menu list(s). The menus only show Venues and Contacts that have been entered before. In other words, from the "Event Details" window, you can't enter information for a new Venue or a new Contact for the first time. To do that, go to the main Post a New Calendar Listing form and re-enter the listing as a new event; you can enter new Venue or Contact info using that form. If you do re-enter a listing, be sure to delete the original listing.

4.3 Deleting a Listing

Events should only be deleted if they are actually cancelled; please don't delete events merely because they have already taken place (see the Note, below).

You can delete a listing by clicking on the "Delete" link in the "Action" column on the far right.

Also, when you're viewing the calendar while you're logged in, you'll see an "edit" link and a "delete" link next to each of your listings on the calendar; these function just like the links in the Event Manager. These links only appear on the calendar when you're logged in, and only next to your events; no one else can make changes to your listings.

When you click on a "delete" link for a listing, an alert box will appear asking you to confirm the deletion. Once an event listing has been deleted, it cannot be recovered.

NOTE: Events that have already passed remain on the calendar and your Event List indefinitely. Please don't delete these old events from your list for at least a year, because this also deletes them from the calendar, preventing users from seeing what happened in the past. Old events shouldn't get in your way, however; they will simply "fall off" the first page in the Event Manager. And on the calendar itself, the only way users will see old events is if they specifically go looking for them; old events do not show up in search results.

5. The Event Manager "Contacts" List

5.1 About the Contacts List

When you enter events in the calendar, you can also enter contact information for each performance (i.e. who to contact for more information about the show). These contacts are saved on the Contact List. Your Contact List is specific to you -- no one else can see it or use it.

5.2 Viewing the Contact List

To view the Contacts list, click on "Contacts" in the upper right area of the Event Manager screen. This sends you to the "My Contact List" screen, where you can read the detailed information associated with each contact, and edit and delete contacts.

5.3 Editing and Deleting Contacts

From the "My Contact List" screen, you can edit or delete individual contacts by clicking on the appropriate link(s) for each. Using the check-boxes beside each contact, you can also select multiple contacts to delete all at once using the "Delete" button. Hitting the "Clear" button unchecks any check-boxes you've selected.
