Posting a Listing: Filling Out the Form

The following are detailed instructions on filling out the "Post a New Event Listing" form. The form is reached by clicking on the "Post a New Event" link at the top of the Event Manager window.

The numbers in the text below match the numbers on the form itself.

1. Who & What

1.1 Name of Performer(s) or Event

- For solo and split-bill shows, just enter the name(s) of the performer(s).
(Ex: "Jane Doe," "Jane Doe w/ Jo Schmo", "Jane Doe, Jo Schmo, Joe Bloe")

- For larger shows (more than three people), if there's a featured performer, put their name followed by "w/ guests," then list the other names in the Description (item 1.2, below).
(Ex: "Jane Doe w/ guests")

- For larger shows with no head-liner per se, give the whole event a name, and list all the performers in the Description (item 1.2, below).
(Ex: "Spring Concert," "Dental Records Showcase," "Songspace Benefit," "Skid Row Open Mic," etc.)

- For weekly or monthly concert series, enter each concert separately as an individual event, so that we know who is performing each time. You can let us know about the series in the Description (1.2, below).

- If your show is part of a larger series, mention that in the Description, below.

The calendar is not appropriate for:

• performances by out-of-town artists
• performances outside the geographic area given above
• instrumental music
• performers who don't sing their own songs (a few covers are OK)
• dances and dance-related events
• recorded music (DJs, dance clubs, etc.)
• non-musical events
• music in which we can't hear the words

NOTE: If you're a singer-songwriter who also plays other kinds of events (instrumental concerts, dances, workshops), only your singer-songwriter shows go on the calendar.

1.2 Admission/Description

- Put the admission/donation amount first (or "free"), then one line break to separate it from the rest of the description.

- In your description, briefly tell us about the performer(s), or the music, or the event as a whole. Hype is OK, though not that useful. What's the performer's style or message or vibe? If it's a benefit, what is it supporting?

- If there are performers who weren't listed in the Name box (1.1, above), list them here.

- If your event is part of a larger program (an ongoing concert series, an educational or cultural program, etc.), this is a good place to mention it.

- If this is an open mic, put the sign-up time here.

- DO NOT put contact information or web links in this box. Use the Contact section at the bottom of the form for that.

1.3 Select Calendar Category

- There are only two categories: "concerts"and "open mics." Any performances that are not open to walk-ups, sign-ups, or sit-ins (i.e. most shows) are "concerts." Any performances where participation is open are "open mics," including song circles.

NOTE: If you're posting an open mic, please make sure that it's not already listed on the calendar.

2. When

2.1 Event Date

- For single performances, enter the actual date.

- For weekly or monthly events (e.g. open mics, song circles), enter the next date it occurs, then see items 2.2 and 2.3 below.

- For events lasting several days in a row, enter the first day of the event.

NOTE: For weekly or monthly concerts series, enter each concert separately as an individual show. Don't just enter the series once and select "weekly"or "monthly," because we won't have any idea who's performing at each concert. If you want to let people know that a specific concert is part of a larger series, mention that in the Description (item 1.2, above).

2.2 How Often Does the Event Occur?

- Individual shows, leave the list set to "One Day"

- Weekly/monthly events (open mics, song circles): pick "weekly" or "monthly." Based on the data you enter, the calendar will display your event each week or each month on the correct day. In order for this to work, the Event Date (2.1, above) you enter must match the day you want. For example, if you want the event to appear every Friday, then the Event Date must be a Friday. If you want the event to appear on the first Saturday of each month, then the Event Date must be a first Saturday.

NOTE: For monthly events that fall on the "last Sunday," or the "last Friday," etc., you must enter the event separately each month, because the program counts which Monday, Tuesday, or Wednesday to list, and can't distinguish the last one. For example, if your event is the last Sunday, and you enter it as starting on a fourth Sunday, it will always show up on the fourth Sunday, even in months with five Sundays. And, if you enter it as starting on a fifth Sunday, then it won't show up at all in months with only four Sundays.

NOTE: For weekly or monthly concerts series, enter each concert separately as an individual show. Don't just enter the series once and select "weekly" or "monthly," because we won't have any idea who's performing at each concert. If you want to let people know that a specific concert is part of a larger series, mention that in the Description (item 1.2, above).

2.3 What Date Does it End?

- Individual concerts, make it the day of the show itself.

- For weekly or monthly events that continue indefinitely, choose an end date a year away, so that the event will continue to appear on the calendar each week or each month. If you do this, be sure and edit the event later if anything should change.

- Some weekly or monthly events only occur for a certain part of the year. For these events, enter the last date the event takes place.

- Again, for weekly or monthly concerts series, enter each concert separately as an individual show, so we know who's playing each time. Don't just enter it once and choose "weekly"or "monthly."

2.4 Start Time

- This is the time the music starts. For open mics, this isn't the sign-up time, but the time the first set starts; list the sign-up time in the Description (see item 1.2, above).

2.5 Stop Time

- The calendar program requires a "stop time."If you don’t know when the music will end, just enter your best guess. Keep in mind that, although this level of detail can be annoying to us, our audiences may appreciate knowing how late the music will go.

3. Where

3.1 Select Venue

- The calendar database already contains dozens of Seattle-area venues. Simply scroll through the drop-down list and, chances are, the one you're looking for will be there. If it is, select it, and you're all done with the venue part of the entry form–you can skip items 3.2-3.8.

- If the venue is not on the list, proceed to New Venues, below.

New Venues

- Enter new venue information in items 3.2-3.8, below.

- "Venue" means the actual location itself, not the event.

NOTE: After you enter a new venue, it becomes available to you and everyone else in the "Select a Venue"drop-down list. So be as complete and accurate as possible, so the information is reliable and useful for everyone.

3.2 Venue Name

- We're looking for the name of the physical location, not the name of the series, or open mic, or program. We want the name of the place where it's happening.

3.3 Venue Street Address

- The physical location, not the mailing address.

3.4 Venue Phone

- The phone number of the location itself, not a contact person.

3.5 Venue City

- The city where the venue is located.

3.6 Venue Web Site

- The venue's own web site, not the artist or the promoter, etc.

3.7 Venue Type

- "Type"refers to whether the venue is a tavern, or coffeehouse, or theater, or park, or whatever. Read the entire list of options to be sure you select the appropriate type. In the unlikely event that the type you need doesn't appear, choose "other."

3.8 Venue Description

- Tell us whatever you can about the venue.. anything that listeners and other artists might like to know. Be objective and factual – no rants. Just tell us how big it is, whether it's music-friendly, whether it's all-ages, whether they have good food, etc.

If this venue offers an open mic or other music programs, let us know what, and when.

4. Who to Contact

4.1 Select Contact

- The Contact List shows all the contacts you've entered for previous events. If you’ve never entered an event before, there won't be any names on the list, and you'll need to enter the contact information in items 4.2-4.4, below.

NOTE: Unlike the venue info you enter, no one else can see or use your contact list. Your contacts are available only to you.

New Contacts

- If your contact isn't on the list, enter their information in the fields below.

4.2 Who to Contact

- The name of the person that interested parties should contact for more information about the performer(s), or about the event. This could be the performer, or the presenter/promoter, or a publicist, or anyone else in a position to answer questions.

4.3 How to Contact

How do we reach the person or organization listed in 4.2? Phone or email is fine, but not the web site – save that for item 4.4, below.

4.4 Contact Web Site

If the contact person or organization has a web site, list it here. This could be the artist's own web site, or the presenter's, or whatever. However, it shouldn't be the venue's web site (unless the venue is the also the contact); the venue web site should be entered in item 3.6, above.
